Booking & Deposits

Initial Deposit

A 30% deposit is required to confirm your booking and secure your travel dates. This deposit covers:

  • Reservation of accommodation (hotels and ger camps)
  • Vehicle and driver assignment
  • Guide allocation
  • Initial activity bookings

Final Payment

The remaining 70% balance must be paid at least 30 days before your departure date. Late payments may result in:

  • Booking cancellation without refund
  • Loss of reserved services
  • Additional fees to rebook services

Booking Confirmation

Upon receiving your deposit, you will receive:

  • Email confirmation with booking reference number
  • Detailed itinerary overview
  • Payment schedule
  • Pre-departure information pack

Refunds (The Clear Version)

If you cancel:

Why the sliding scale? We pay non-refundable deposits to camps, guides, and drivers when we confirm your tour. The closer to departure, the less we can recover.

If we cannot confirm your tour after deposit:

If we cannot secure your requested dates within 24 hours of receiving your deposit, you can choose:

  • a) Full refund (no admin fee), or
  • b) Free date change to any available departure

Force majeure (severe weather / road closures / travel bans):

If conditions make the tour unsafe or impossible, you can choose:

  • Free date change to any future departure, or
  • Refund of recoverable costs (we'll provide an itemized breakdown)

Chargebacks:

If you file a chargeback, we pause services while it's under review and provide documentation (receipts, itinerary, email/message history) to your card issuer. If the chargeback is upheld, your booking is canceled.

Partial refunds during tour:

If you leave early by choice, no refund. If we fail to deliver a promised service (wrong accommodation tier, missing stated activity), we refund the proportional cost within 14 business days.

Payment Methods & Currency

Accepted Payment Methods

Payments are processed securely via Stripe. We accept all major credit and debit cards (Visa, Mastercard, American Express).

We do not store full card details. All payment data is encrypted and handled by Stripe's secure infrastructure.

Currency

All prices are quoted in USD (United States Dollars). If paying in another currency, the exchange rate at the time of payment will apply, plus any bank conversion fees.

Payment Security

We use industry-standard encryption and secure payment gateways. Your payment information is never stored on our servers and is processed by certified payment providers.

Included in Your Tour

  • ✓ National park entrance fees
  • ✓ Activities mentioned in itinerary
  • ✓ Airport transfers in Ulaanbaatar
  • ✓ Government taxes and service charges

Not Included

  • ✗ International flights to/from Mongolia
  • ✗ Travel insurance (mandatory)
  • ✗ Personal expenses and shopping
  • ✗ Alcoholic beverages
  • ✗ Tips for guide and driver
  • ✗ Visa fees (if applicable)
  • ✗ Additional activities not in itinerary
  • ✗ Meals in Ulaanbaatar (unless specified)

Tour Changes & Modifications

Changing Your Dates

Date changes are subject to availability and may incur fees:

  • 60+ days before: Free date change (once only)
  • 30-59 days before: $100 USD change fee + any supplier fees
  • Less than 30 days: Treated as cancellation, standard cancellation policy applies

Itinerary Modifications

Want to customize your tour? We're happy to modify itineraries before final payment. After final payment, changes may be possible but could incur additional costs depending on supplier availability.

Force Majeure

In case of natural disasters, political unrest, pandemic, or other events beyond our control, we will work with you to:

  • Reschedule your tour with no change fees
  • Modify the itinerary to ensure safety
  • Provide refunds for unused services where possible

Travel Insurance (Mandatory)

Mandatory Requirement: All travelers must have comprehensive travel insurance that covers medical emergencies, trip cancellation, and evacuation. Mongolia's remote locations make this essential for your safety.

Required Coverage

Your insurance must include:

  • Medical expenses (minimum $100,000 USD coverage)
  • Emergency evacuation and repatriation
  • Trip cancellation and interruption
  • Personal liability
  • Lost luggage and personal belongings

Proof of insurance must be provided at least 14 days before departure.
